12 hidden fees to check on your next statement

A checklist to run through before you pay your next bill.

The ground rules

Interchange and assessments are unavoidable. Everything below is a fee that's either fully negotiable, sometimes avoidable, or sometimes shouldn't be there at all. Run your next statement against this list.

Every statement has the same six regions, even when the layout changes.

Header

Processor, month, merchant ID and the deposit totals for the period.

Volume summary

Card volume and transaction count, usually split by card type.

Interchange detail

The pass-through cost set by the card networks — the biggest line.

Assessments & network fees

Smaller network charges that also pass through untouched.

Processor markup

What your provider adds on top. This is the negotiable part.

Monthly & incidental fees

Statement, gateway, PCI, batch, chargeback and equipment charges.

The 12 to check

1. PCI compliance fee — a recurring charge (often $8–$15/month) tied to maintaining PCI-DSS compliance. Legitimate in small amounts, but some processors charge this and a separate 'PCI non-compliance' penalty if you haven't completed an annual questionnaire — worth confirming you're not paying twice.

2. Statement fee — a flat monthly charge (often $5–$10) just for producing the statement itself. Increasingly rare among modern processors and worth questioning if you see it.

3. Batch fee — a small per-batch charge for closing out your daily transactions. Can add up for businesses that batch multiple times a day.

4. Monthly minimum fee — if your processing fees don't add up to a set minimum (e.g., $25/month), you're billed the difference. Common on interchange-plus plans, largely irrelevant if you process any real volume.

5. Gateway fee — for online or card-not-present processing, a separate monthly charge for the payment gateway itself, on top of per-transaction fees.

6. Annual fee — a once-a-year charge, sometimes disclosed clearly, sometimes buried in a single unlabeled line.

7. Non-qualified / downgrade surcharge — extra percentage tacked onto transactions that don't hit the 'qualified' tier on a tiered plan. If this line has meaningful volume, it's the single most common source of real overpayment.

8. Early termination fee (ETF) — a penalty for closing your account before a contract term ends, sometimes several hundred dollars. Not on your monthly statement, but worth knowing before you sign anything new.

9. PIN debit access fee — a flat network fee for routing debit transactions, separate from the interchange itself.

10. Address Verification Service (AVS) fee — a few cents per card-not-present transaction to verify billing address, often bundled invisibly into a per-transaction fee.

11. Chargeback fee — charged whenever a customer disputes a transaction, win or lose. Reasonable in isolation, but worth tracking if your dispute rate is climbing.

12. Equipment lease fee — a recurring charge for a leased terminal, frequently far more expensive over 3–4 years than buying the same hardware outright.

How to use this list

Pull your last statement and check off which of these appear. One or two small, disclosed fees is normal. Several unexplained lines — or a downgrade fee eating a meaningful chunk of volume — is the pattern that usually shows up right before we find real, fixable savings in a review.
